POSITION TITLE: Mentoring Program Senior Coordinator

STATUS: Non-Exempt

STANDARD HOURS: 8:00 a.m. to 5:00 p.m., Monday - Friday, Hybrid, some evenings and travel required

REPORTS TO: Manager, Mentoring Program

ASSIGNED TO: Scholarships and Financial Aid Department

SALARY: Starting at $45,000 and may increase based on relevant experience

Position Summary:

The Mentoring Program Senior Coordinator coordinates, manages, and evaluates programming and activities related to the Mentoring Program, an e-mentoring program that also incorporates events throughout the academic year. The Senior Coordinator will oversee cohort-specific initiatives, direct the work of Coordinators and manage key aspects of the program, in addition to completing program-related tasks as needed.

Essential Functions:

  • Facilitate high-impact relationships between mentors and mentees. Support Mentoring Program Coordinators in assisting pairs to build strong relationships through individualized attention, regular communication, support, and advice. Maintain awareness and attend to elevated issues arising between pairs by providing immediate follow-up appropriate to the situation. Recommend strategies to Coordinators that will improve pair relationships. Conduct all outreach to mentors and students at risk of exiting the program.
  • Identify, develop, and execute program improvements and opportunities to better support students and contribute to the program's success. Lead the development of academic year-specific programming, outreach campaigns, and resources for cohorts under your area of responsibility. Support Coordinators in implementing these programs, campaigns, etc.
  • Support in managing the work of Coordinators and AmeriCorps member. Provide training for AmeriCorps members and delegate duties to cohort teams, monitor activities in supporting pairs, and facilitate meetings and progress of AmeriCorps professional development.
  • Oversee student onboarding. For incomings students and returning students, managing orientation schedules and completions, adding students to the proper cohort, processing paperwork and recording relevant data, ensure students are being properly matched, and conducting outreach to selected/eligible students on outstanding enrollment steps.
  • Monitor students (re-)entering or exiting the program in a cohort under your area of responsibility. Properly use data sources to track students and ensure they are receiving communication about program steps quickly. Oversee matching of students with appropriate mentors as soon as they are eligible. Ensure students leaving the program receive correct information, are deactivated as needed on Chronus, and are referred to the correct scholarship team as appropriate.
  • Create, edit, and update program materials, including mentoring curricula, surveys, policies and procedures, etc.
  • Oversee data and information for cohorts under your area of responsibility. Actively manage data in Chronus, Salesforce, and on PowerBI dashboards, to note and record changes and actionable information as it happens. Ensure mentors and students in your cohorts are properly tagged and marked in Chronus. And Salesforce. Provide information on pairs in your area of responsibility as requested.
  • Assist with program-wide initiatives through group collaboration and events, as needed.
  • Represent the Mentoring Program internally and externally, as needed, including in cross-department committees, community initiatives, and professional organizations.
  • Perform other duties as required.

Qualifications:

  • Experience in college retention or mentoring strongly emphasized.
  • Bachelor's degree required.
  • Experience in a higher education environment related to admission, scholarship administration, financial aid, or a background in college counseling or college access is strongly preferred.
  • Strong interpersonal, oral and written communication skills, and leadership skills in working with colleagues and overseeing an AmeriCorps member.
  • Strong organizational and analytical skills showing the ability to manage multiple responsibilities.
  • Must have provided leadership and meaningful contributions to the team's work, either via project management, development of new systems, cross-department collaboration, or a combination of these.
  • Working knowledge of Microsoft Office Suite required.
